- Maintain visibility of all implementation projects, including onboardings, launches, offboarding's, and change requests.
- Develop, maintain, and continuously improve the team's project tracking framework.
- Ensure project status information remains accurate, current, and accessible to stakeholders.
- Coordinate and facilitate project-related client engagements and status meetings.
- Arrange introductions between clients and relevant internal stakeholders to support successful project delivery.
- Establish and maintain recurring project update meetings for complex or high-priority implementations.
- Support the production of project reporting and management information.
Operational Oversight
- Monitor the Implementations inbox and ensure queries are appropriately allocated and responded to.
- Maintain project checklists and documentation to ensure completeness and consistency.
- Ensure all project-related information is stored appropriately and remains easily accessible.
- Drive adherence to implementation governance, processes, and tracking standards.
Process Improvement & Automation
- Proactively identify opportunities to improve implementation processes, workflows, and communications.
- Evaluate and implement automation and AI-driven solutions to reduce manual effort and improve team efficiency.
- Assess and recommend suitable tools and platforms to support project tracking and reporting requirements.
- Partner with stakeholders to streamline operational processes and eliminate inefficiencies.
- Deliver measurable process enhancement initiatives on an ongoing basis.
- Present improvement recommendations and implementation plan to management.
Stakeholder Engagement
- Collaborate closely with Implementation Specialists, Business Development, Legal, Trades, and other internal teams.
- Build effective relationships with clients and internal stakeholders.
- Facilitate effective communication throughout the implementation lifecycle.
- Support change adoption associated with new processes, tools, and ways of working.
Required qualifications and experience: Minimum Requirements
- Relevant tertiary qualification in Commerce, Finance, Business Administration, Operations, or a related field.
- 3–5 years' experience within financial services operations, fund administration, client onboarding, project coordination, or a related environment.
- Strong administrative, coordination, and organisational skills.
- Advanced proficiency in Microsoft Excel and Microsoft Office applications.
Advantageous
- Experience within fund administration, asset management, investment operations, or transfer agency environments.
- Exposure to workflow automation, process optimisation, business improvement initiatives, or project management methodologies.
- Experience working with SharePoint, Power Platform, workflow tools, AI solutions, or similar technologies.
- Knowledge of onboarding and account opening processes within financial services.
